Reports: Passkey Usage: Passkey Usage Overview (Excel)

This report allows you to look at events, reservations, revenue, upsell, and other data for your organization or hotel.  The report can be run for a given month or for year to date, and is provided in Excel format for further analysis.

 

NOTE: This report is updated on the 1st day of each month by 4 a.m. Eastern Time (ET).  Please take this into account when comparing with other real-time Passkey data or reports.

 

To run the report:

  1. Under the Period, choose one of the following:

  1. Select the Year, noting that only years with actual data for the organization or hotel will be displayed.  This list contains the current year and the past 2 calendar years.

  2. Select the Month, noting that only months with actual data for the organization or hotel will be displayed.

  3. Select the Hotel(s), if the report is being run by an Organization with sister properties.

  4. Select the Currency if desired, which defaults to the organization or hotel profile default currency. Note that a historical currency conversion is used to ensure all revenue figures are normalized to the selected currency.

  5. Click Generate Report to display the Excel report.

Data Included In The Report

For clarity, the events included in the report are grouped by their event type.  This is shown in the Event Category column as:

Data Definitions

The following table defines all of the columns shown in the Excel report.

Business Definition

Participant Id

The unique Passkey ID of the organization or hotel

Licensee

The owner of the event, which may be a Hotel or Organization, as set in the Profile (Name)

City

The owner's City, as set in the Profile

State

The owner's State/Province, as set in the Profile

Country

The owner's Country, as set in the Profile

Chain

The hotel's chain name

Brand

The hotel's brand name

Management Co.

The management company of the hotel

*Event Category

For the Hotel User:

  • HotelDirect (HD) - describing events owned by the Hotel

  • CityWide (CW) - describing the Hotel's participation in CW events created by third party organizations

  • Multi-Property (MP) - describing the Hotel's participation in CityWide events created by a Multi-Property (MP) organization related to the hotel

For the Organizer User:

  • CityWide (CW) - describing events created by the organization

*Gross Events Created

All events created during the reporting period, including canceled events

*Net Events Created

All active events created during the reporting period, excluding canceled events

Net Open Events

Events which were open for reservations at least one day during the reporting period, excluding canceled events

RegLink Events

Open events enabled for RegLink (Event Connector), excluding canceled events

Events With Upsell Rooms

Open events where at least one premium (Upsell) room type is present, excluding canceled events

Events With Enabled Campaigns

Open events where at least one Campaign email was enabled, excluding canceled events

Gross Res

All reservations created during the reporting period, including canceled and wait listed reservations

Net Res

Active reservations created during the reporting period, excluding "Cancel", "No Show" and "Fully Wait Listed" reservations

Number of rooms booked during the reporting period as part of Gross Reservations

Gross Room Nights

Gross Upsell Revenue

Room Upgrade revenue generated as part of Gross Room Revenue.

Upsell Revenue shows only the difference between an upgraded room rate and a base room rate available for a guest, based on the Upsell Premium set in inventory, or the dynamic upsell

Net Upsell Revenue

Room Upgrade revenue generated as part of Net Room Revenue

Gross Nights With Upsell

Gross Extended Stay Revenue

The part of Gross Room Revenue generated from nights booked before or after event dates (outside of contract)

Net Extended Stay Revenue

The part of Net Room Revenue generated from nights booked before or after event dates (outside of contract)

Gross Nights Outside Contract

The number of room nights booked before or after event dates (outside of contract) as part of Gross Room Nights

Net Nights Outside Contract

The number of room nights booked before or after event dates (outside of contract) as part of Net Room Nights

Gross Add-On Revenue

Revenue from Add-Ons sold as part of Gross Reservations, excluding revenue from per night Add-Ons booked for pending (Wait Listed) nights
