Use this page to manage the details for the hotel associated with this event, including inventory dates, sell status, and descriptions about the hotel. If this event allows multiple hotels, you can also manage which hotels are associated with the event by adding or removing them.
Changes made on this page apply only to this event. It does not affect the hotel's information in other events.
To add a hotel that is not in Passkey, click the Request Hotels button. This will launch a form in which you may provide details and request one or multiple hotels.
TIP: To determine how the hotels are listed on the Attendee Website, click the Edit Display link. This link does not affect how the hotels are listed on this page.
To display and change a hotel's information:
Click on the hotel name or the edit icon (). The
hotel details appear on the same page to the right.
In Hotel Inventory Dates, update the dates as necessary.
In Hotel Sell Status, update inventory selling options including:
Sell To: This area is for modifying the sell status at the hotel level.
New and Existing Reservations - New reservations, modifications and cancellations will be accepted.
Existing Reservations Including Room Type Changes - Only guests with existing reservations can cancel or modify their reservations (including changing their room type). They can add additional nights to their stay. No new reservations will be accepted.
Existing Reservations but Prevent Room Type Changes - Only guests with existing reservations can modify or cancel their reservations. They can also add additional nights to their stay. However, no new reservations will be accepted, and no existing reservations can modify into this room type.
Don't Sell Inventory - Only guests with an existing reservation can cancel or modify their reservation. They cannot add nights to their stay. New reservations are not allowed even if reservations are cancelled releasing that inventory.
Click the Web or Call Center boxes, or both, to make inventory available on the Attendee Website or to Call Center level users.
In Hotel Information, enter the hotel description, cancel policy, child policy, marketing message, and tax disclosure. You can change the hotel information for this event only. It does not affect the hotel profile stored in the system. Each text box accepts HTML tags; therefore, if you are familiar with these tags, you can use bold, bullets, italics, etc.
Require Hotel Confirmation Numbers in Order for Hotel to Mark Reservations as "Processed". Check this box to require the hotel to enter confirmation numbers from the hotel's system into RezHUB in order to be able to mark reservations as processed. (multi-property events only)
The Hide number of children in website reservations box can be checked to hide the selection of number of children in the attendee website. This setting is generally used in conjunction with the Children Stay Free box (from Hotel defaults) so that the guest only needs to indicate the number of adults.
Check the Rates include tax box if the rates shown on the website include the tax.
Check the Show hotel on closed page box if the hotel information is to remain on the website after the event registration is closed.
Click Save to apply the changes.
NOTE: The tax settings can also be centrally managed for any event by using the Event: Details: Taxes screen.
TIP: Click the Revert to Default link to restore the original information in the text boxes, as well as the checkboxes.
TIP: If you have permission, you can click on the hotel name just above the Hotel Inventory Dates to edit the hotel's profile. This allows you to change the hotel information for all events.
To add a hotel to this event:
Click the Hotel Lookup button.
In the search page, search for a hotel by name, city, or state. Leave all fields blank to list all hotels. Click Search.
Check the hotels you wish to add then click the Add Selected Hotel button.
If desired, click on a different search page to add more hotels.
Close this window when done.
To remove a hotel, click on the X icon in that hotel's row.
