GroupMasterLink (GML) facilitates integration between Passkey and a hotel’s Sales & Catering System, Property Management System, or Central Reservations System (collectively referred to as a PMS in this document). The ability to push information from a PMS into Passkey can essentially set up a single property event in a matter of minutes, thus further automating the group housing process.
A PMS manages group business from a room block, catering, and revenue perspective. Once a meeting becomes definite in the system and is coded as a Passkey event, the information is sent to Passkey and control is taken for inventory management and reservation fulfillment.
This page allows you to search for GML messages by status and type. The status can be:
Pending. This new message has not been processed or been replaced by a newer message. This is the status that the majority of messages will be acted on by the GML user.
Processed-Accepted. This message was opened and processed by a user.
Processed-Rejected. This message was opened and rejected by a user.
Processed-Error. This message could not be processed due to an error in the message. If you encounter this status, contact Passkey for assistance.
Obsolete. If two messages exist for the same event, the earlier message becomes obsolete and the later message is pending. Obsolete messages cannot be acted upon.
Unprocessed-Error. This message encountered an error when the message was received. If you encounter this status, contact Passkey for assistance.
In Process. This message is encountered when GroupMasterLink is processing a message. This should not be seen by a use unless an error has occurred. Please contact Passkey support if this message is seen for more than 10 minutes.
Excluded. This message is encountered when a hotel is enabled for Auto Create and the message is excluded based on the bundle code. Messages may also be excluded if the default cancellation policy is missing from the Hotel Profile. These events can be created by viewing the message and creating the event or the message may be rejected if the event will not be created in Passkey.
There are two types of GML messages:
Booking – New. A new message indicates that a new event in the PMS is being passed into Passkey for creation.
Booking – Update. An update message indicates that a message is being sent into Passkey for an event that has already been created. An update message will be sent to Passkey if certain defined information in the PMS has changed. Update messages may contain changes to the booking profile or reported pickup numbers, which can be updated in Passkey manually.
There are two types of Event Dates:
Future. Events that have not yet taken place.
Past. Events where the event dates are in the past.
Click the View button in any row to take action on that GML message.
Specific events can be found by using the Search Event field.
One or more messages may be rejected by selecting the messages and clicking the Reject button. Messages that are rejected will be permanently rejected even if updates are sent for the message.
A user may choose to move the message from a “Rejected” status back to “PENDING” by simply changing the value of the “Rejected” dropdown selection.
