This report displays the pace at which reservations are made prior to the event start date for each hotel property within an event, and allows for a comparison of 2 events.
In addition, featured on these reports is a snapshot of the total number of confirmed reservations in the system at event cutoff and event start dates.
This report displays in Excel. You can also display the report in your web browser by selecting the Pace report.
To run the report:
Select an event by doing one of the following:
View the Selected Event banner below the Find Event row. The desired event may already be selected.
Use the Find Event drop-down list to search within your favorites or recently viewed events. Once selected, click the Find button to view events. Click on the desired event.
Choose By Event Name in the drop-down list, enter the name or partial name of the event then click Find. Click on the event name from the matching list of events.
Click on Advanced Search then enter search criteria in one or multiple fields. Partial names are allowed. Click Search. Click on the desired event from the list.
In Select a hotel, select all hotels or a specific hotel.
In Select Date Range, choose to see the reservations every 30 days, weekly, or Set Interval, which is 120, 90, 60, 45, 30, 21, 14 and 7 days prior to the event start date.
In Compare Pickup To, choose a value to compare with Pickup. The calculation used for any given selection is % Sold to <comparison>= (Pickup / <comparison>) x 100. Note that this value can be zero or positive, depending on the data that is compared. When the <comparison> is 0, then a "-" will be displayed.
Optionally, to compare the event with another event, select one of your recently viewed events in Compare Pickup Pace to another event.
Optionally, select Include guaranteed attendee types as picked up if you want to include any guaranteed blocks within the pickup numbers.
Click Generate Report.
NOTE: Historical report data is based on a snapshot and is refreshed on a 24 hour cycle, so it may take some time for new or updated reservation data to appear. To clarify:
Pick Up for Cutoff date - Includes pickup that happened before the cutoff date, so this data is available on the cutoff date
Event Start Date Pickup - Includes pickup for the Event Start Date, so this data is available the day after the Event Start Date
However, several data points are available in near real-time to help you monitor the event, including:
Current Block - Includes data from the day the report is run
Report Date Pick Up - Includes pickup from the day the report is run
When another event is selected, the Excel file with show the comparison event name and two additional columns in the spreadsheet for Total and % Sold. These columns have the same meaning as for the primary event, but are for the comparison event.
The comparison is made by lining up the Event Start Date of the two events and showing "Weeks Out" (or other time period) relative to that date
If the comparison event was open for a shorter period than the primary event, the initial weeks may show 0s in these columns (until the Reservation Open date is reached on the comparison event)
If the comparison event was open for a longer period than the primary event, the initial weeks of the comparison event are not shown here, and only begin at the same week of the primary event
