Hotel or Organization: Libraries: Sub-block Groups

Use this page to add, modify or remove Sub-block Groups and Sub-block Group Contacts from your library. Additionally, Default Dashboard Settings may be managed from this screen.

Adding or Editing a new Sub-block Group

To add a new Sub-block Group, select the click here link.

Once the Sub-block Group has been added to an event, there are four management options:

  1. Select the Add Planner icon () to add Sub-block Group Contacts to a Sub-block Group.

  1. Select the edit icon () to change the Name, Type or Attendee Type affiliation.

  2. Select the Delete icon (X ) to remove the Sub-block Group.

  3. Select the Manage Profiles link to add or edit delegate profiles associated to the Sub-block Group.

Managing Events

To manage the Events that a Sub-block Group(s) is affiliated with, select the click here link.

Managing Sub-Block Group Contacts

After the Sub-block Group Contact has been added to a Sub-block Group, the contact’s information may be edited by selecting the Edit Sub-block Group Contact icon () from the Actions list. The Sub-block Group Contact may be removed by selecting the Remove Sub-block Group Contact icon (). 

Default Dashboard Settings

Accessing the Default Dashboard Settings link at the top of the screen will provide access to the page used to define specific event dashboard access. Upon event creation, the default settings are based on what was set at this Library level. Organizers can further customize these settings at the event level.

Manage Profiles

Delegate Profiles acts as an address book to help reduce manual entry while booking reservations in the Multiple Room Booking portal. Delegate profile information may be added at the library level for all Sub-block Groups.

IMPORTANT: Sub-Block Groups created directly at the event level will not have the option for delegate profile lists. The profile option is available for Sub-Block Groups that exist in the library only.

Adding New Profiles - Manually

  1. Click the Manage Profiles link located under the desired Sub-Block Group.

  2. Click the Add New button.

  3. Fill in the delegate’s information (required fields are noted with an asterisk).

  4. Click Add.

  5. Verify that the information being submitted adheres to your country’s privacy policy and select OK.

TIP: Entering all of the delegate information at the profile level aids in the creation of reservations on the Multiple Room Booking portal. The more contact information that is included in the profile, the less information will need to be manually entered on the portal.

Adding New Profiles - Importing

  1. Click the Manage Profiles link located under the desired Sub-Block Group.

  2. Click Browse to select the contact list to be imported.

  3. Click Import File to complete the import process.

  4. Once the import is complete, view the results and click OK.

IMPORTANT: There is a specific format that must be used when importing files. To access the template, click the this template link after selecting Import Profiles to obtain the default template. Information may be copied and pasted from another spreadsheet into the required format and then saved for import. The first name and last name fields are required, all other fields are optional.

TIP: the system will not check for duplicate profiles. The system will always create a new profile record for each profile imported.

Managing Profiles

  1. Access existing profiles by selecting the Manage Profiles link located under the desired Sub-Block Group.

  2. Select the edit icon () to make changes to a delegate’s profile, Save changes.

  3. Select the Details link to review the profile information.

  4. Select the Events link to view the events in which this delegate has a reservation.

  5. To delete a profile, check the box next to the profile(s) to be deleted and click the Delete checked profiles link, click OK.
