The Passkey Home Screen provides a summary of your events, including:
The number of events in the next six months (displayed on the top right hand corner).
A list of events with ability to view and manage certain event details (described below).
An alerts section with notifications about conditions pertaining to your events.
IMPORTANT: Do not open Passkey in two separate browser windows; otherwise, the data entered in one window may be lost.
NOTE: Hotels will not see events that have been created by Organizations using the Hide from Hotel(s) setting. Hotels should contact the organization responsible for the event for all event-related information.
Upon logging into Passkey, the home screen displays a list of recently viewed events. Click Select a Filter to view other selections such as All Events, Recently Viewed, Open Events, Favorites, Recently Opened, My Events, etc. The list of displayed events provides the following information:
The Inventory area includes 3 columns:
Starts: Earliest inventory date of any hotel in the event.
Peak: Number of rooms in the current block on the peak inventory night.
Pickup %: Total inventory pickup as a % of the current block (Pickup % does not include unsold guaranteed rooms).
The Reservation area includes 2 columns:
Open: The day the event opens.
Cutoff: Number of days to cutoff date. By default, the cutoff date is highlighted in red when it is 7 days away. Click on the cutoff date to control when it is highlighted.
The icon will indicate
CityWide events with an established Hotel Reservation Access Date.
Creating Favorite Events: Click
the star () to the left of an
event name.
Quick Search:
Enter the full or partial name of an event in the search text field on top of the event list. A list of events will appear. Click on the desired event to view it.
TIP: If the event you’re searching for is not displayed, check the filter. For example, your filter may be set to Recently Viewed, but the event you’re searching for is not a recently viewed event, so you would need to set the filter to All Events.
Advanced Search
Click the down arrow icon ()
to the right of the search text field, then enter as much or as little
information you need to find an event(s),
then click the Search button.
To hide advanced search, click on the arrow again.
To view details of any event, click on the down arrow to the left of the event name. A number of details will appear including the following:
Inventory Table: The inventory table pertains to one hotel and all Room Types for that hotel. To display other hotels or Room Types in any event, click on the arrow to the right of the hotel name or Room Type. The inventory table displays:
Current Block: Total amount of free-sell and assigned inventory in the event.
Pickup: Total rooms sold (from assigned, free-sell and Primary Inventory). Pickup does not include unsold guaranteed rooms.
Available to Sell: Unsold inventory in the event. Note: This number may not equal the difference between the top two numbers if Primary has been enabled and rooms have been sold from Primary. If rooms are available from Primary Inventory, a “+” after the number indicates that additional rooms can be sold after event inventory is depleted. The value is in red if all assigned and free-sell inventory is sold-out. It is also possible for this value to be a negative number due to reservations transferring automatically from a PMS/CRS if applicable.
TIP: If a Room Type in an event has its entire inventory in free-sell, you can manage that Room Type’s inventory directly from the Home screen. However, if inventory is not all free-sell, it is labeled ‘complex’ with a link to manage inventory on another page.
Website and Room Lists
Website area provides links to view the event’s website and upload a new event logo.
Room Lists area provides a link to upload room lists.
Reports: Displays a list of commonly used reports.
Group Optimization Metrics: This area provides a quick snapshot of how the event in focus is progressing with the following metrics:
Online: The percentage of rooms booked online.
Upsell: The incremental revenue generated from upselling rooms.
Planner: Displays the planner's name (if available) with links to add a planner or send them an email to direct them to the Event Dashboard.
The Alerts section displays specific notifications about your events. The types of alerts include:
Room List: This alert is shown for any event with a room list that is not completely processed. Click on the alert to display the events that are included in the alert, then click on the event name to go to the Room List page within that event.
Wait List: This alert is shown for any event with at least one reservation on the Wait List. Click on the alert to access the specific events and wait list sections.
GroupLink Setup: This alert is shown for any event that is not approved or is only partially approved for GroupLink transfers. Click the alert for more details.
RezHUB Alert: This alert is shown if at least one reservation has a transfer error or is a reject. Click the alert to open the ResQ window.
GroupMasterLink Alert: This alert is shown for any GML messages that need to be accepted. Click the alert to display the GML queue and, in some cases, hotel list.
Reservation(s) with no Email: This alert is shown when there are events with reservations for which an email address was not supplied. Click the alert to open a new window and print acknowledgements for faxing or mailing.
Unprocessed Reservations: This alert is shown to Organizers when their events have reservations that have not yet been marked as Processed in RezHUB based on the "aging" of the reservations. Aging is determined by the Home Screen Alert setting on the Organizer Profile.
GML Exclusions: This alert is shown to hotels using the Auto Create feature. The alert will identify GML messages that were excluded from the GML queue based on exclusion rules established on the Hotel Profile.
Events Needing Updates: When Auto Create has been enabled, and an event is created, an alert will appear to indicate that the event(s) need an Event Type added to them. Select the Alert and assign an Event Type to each event.
