If the post event feature is turned ON for a particular organization and on the event level, a new page will appear on the event level, called Post Event. The Post Event Reconciliation page is only accessible to hotels once a Post Event notice has been sent to the particular hotel. Notice to the hotel can be sent based on hotel inventory dates or manually by the organization from the Post Event Reconciliation single hotel view.
The organization that owns the event can always see this page if the permission is turned on in the organization’s profile and on an event level. The page includes a list of each hotel in the event.
PDF/Excel buttons: Allow organization users to generate a multi-hotel report with an aggregated view of the same data that is accessible on a hotel-by-hotel basis.
You can set up the default commission structure in one of several ways:
Amount: Enter a number here that is greater than or equal to zero.
Select the commission basis:
%: Choose this to indicate the amount you entered is a percent.
Gross Taxes: The commission is taken as the percent of the total reservation amount (including taxes).
Net of Taxes: The tax amount is backed out of the reservation and includes the base room rate and all additional guest fees. The commission is calculated on this amount.
Amount: Choose this to indicate the amount you entered is a currency figure.
Per Reservation: The amount will be applied to the entire reservation.
Per Room Night: The amount will be applied to the reservation per room night.
Each hotel has an ON/OFF switch so it can be optionally excluded from the post event process. By default, all hotels are OFF. If hotels are OFF they are not sent any post event notification information and are not counted in status updates of incomplete post event reports in aggregate reports to the organization.
The list of hotels has the following columns:
Hotel Name: All hotels in the event are listed by default in alphabetical order. The table can be sorted on this column by clicking on the header. Click a hotel name to edit commissions and to view reservation details.
Contact email: Shows
by default the RezHub contact email as provided in the hotel profile
for each hotel. If there is no email, this area is blank. The organizer
user can click to edit the email for a given hotel.
Note: Updating the email address here will not update the email on Hotel profile page, but only update it for this particular event/hotel.
Status: The hotel can be in one of several statuses:
No Email: the hotel does not have an email contact
Pre-notification: before the email notification has gone out to the hotel contact
Awaiting completion: the period between when the notification has gone out to the hotel and when someone has signed off on the report. Note, the report can always be signed off by the event organizer on behalf of the hotel.
Completed: when there is a confirmation signature provided by the hotel or manually by the organizer.
Completion Date: The date on which the hotel’s post event report was signed off. Before the status is Completed for a particular hotel the column is blank.
Completed By: The name of the person who signed off on the post-event report for a particular hotel. Before the status is Completed for a particular hotel the column is blank.
