The Reports tab displays key event reports such as Block & Pickup and Delegate reports. Additionally, Event Planners and Sub-block Group Contacts have access to create and send important inventory alerts from this tab if provided with access by the event organizer.
Hotel Pickup. Displays the night-by-night pickup for the event. Room inventory that has been picked up or sold is shown as green, the remaining or un-sold inventory is shown in orange.
Use the Filter option to show data specific to a single hotel or multiple hotels and/or room types.
Pace. The Reservation Pace graph tracks the history of picked up room nights during the event. The number of net room nights per day is displayed from the Reservation Open date to the Event Start date. To compare this event pickup to a previous event, click the Compare Event link (if available).
Booking Method. This chart shows the breakdown of new reservations by booking method for an event. Methods include web, phone, fax, room list and email.
Cost Estimate. This chart shows the estimated cost of active (booked) reservations relative to the cost of the current total block.
Delegate Report. This report displays all delegates for an event for one or all hotels by last name, attendee type, check-in date, company, or the Passkey acknowledgement number.
Block and Pickup. This report displays the current state of inventory for all attendee types across all hotels in an event. This includes original contract, current block, pickup, available, valuable percentages, and arrival and departure patterns. It also provides a breakdown of these numbers by attendee type.
Wait List Report. This report displays all reservations on the wait list for an event for one or all hotels. The number of days the reservation has been on the wait list is shown as well as the status of individual nights on the reservation.
Cost Estimate Report. This report shows the estimated cost of all active reservations. Room rate, taxes and fees, and total charges are listed for each reservation.
A SmartAlert is a notification sent by email. On this screen, Event Planners and Sub-block Group Contacts may create inventory alerts and establish recipients to receive alerts based on a set of criteria. For example, when a sub-block reaches 80% pick-up.
Select New.
Create an Alert Name e.g. 90% Pickup Alert.
Select the Alert Parameters, the Alert Start Date and the Alert End Date.
Select the alert Recipients from the list. Add additional recipients by entering their email address in the Additional Recipients box.
Check the box to Send to My Event Users if desired.
Check the box to send a welcome SmartAlert to each recipient if desired.
Add a personalized message to the alert if desired. Save.

Once created, each Alert may be viewed in the Alerts list. Several action item icons are then available.
ON/OFF ( ) turns the
alert on and off. Alerts will not be sent unless turned ON.
Copy ( ) makes a
copy of the alert.
Edit ( ) opens the
current alert for editing.
Delete ( ) removes
the alert.
: Alerts created on the Event Dashboard are specific to the user creating them. Alerts created by Sub-block Group Contacts are specific to their sub-block group only. Alerts created by Event Planners are specific to the whole event.
