A SmartAlert is a notification sent by email. In this step, define the SmartAlerts and recipients of those SmartAlerts for the event. You can choose the SmartAlerts from the Library (when creating the event) or the event being copied (when creating the event by copying another event).
There are two types of SmartAlerts:
An update is notification sent on a regular schedule. For example, send a daily update on the reservations arriving each day.
An alert is a notification based on a set of criteria. For example, automatically send an email when a block reaches 80% pick-up.
To enable SmartAlerts in the event:
Select the checkbox next to the Update or Alert name to enable or disable each notification. If the box is checked, the Update or Alert will be enabled in the event and notifications will be automatically sent. If the box is unchecked, the Update or Alert will be created in the event, but it will be disabled and will not send notifications.
Click the Update or Alert name to see a sample view of the notification.
To control the recipients of the Update or Alert:
To send the Update or Alert to My Event Users associated to the event, check the Send to My Event Users box. This box will be checked by default if using a bundle that has this option selected. Uncheck if desired.
To send the Update or Alert to planners associated to the event, check the Send to Planner box. The planners for the event are selected later in the wizard.
Click the Recipients icon to define recipients. On the Recipients popup:
Select an organization from the Select Organization drop-down list. The organizations listed are from the Affiliate Library and/or Sub-block Group Contacts in the event.
To add a recipient, click the name in the Add Recipient box to add that recipient to the Current Recipients box. To remove a recipient, click the name in the Current Recipients box. Click the right or left arrow to add or remove all recipients from that organization.
Repeat steps a and b for each organization.
To manually add an email address as a recipient, enter it in the large box below the Current Recipients box. If entering multiple emails, separate them by a comma.
To send a welcome message notifying each recipient that they have been added, check the Send a welcome SmartAlert once to each recipient box.
To view a sample of the welcome message, click View a Sample.
Control the “From” address of the welcome message by entering text in the Send it from field.
Click Save to save the recipient settings for that SmartAlert.
Click Next to save your settings and proceed to the next step.
TIP: Use the Save button if you wish to save your changes while remaining on the page.
TIP: The Organization column lists the name of the Enterprise Account that published this SmartAlert to your Library. If there is no name listed, then the SmartAlert is from the Library or from the copied event.
