Use this page to add or edit a Guarantee Type.
In the Internal Name field, enter a name that is descriptive and unique. This name is not shown on the Attendee Website.
Determine the Guarantee Type, either guarantee (credit card, alternate form such as a check, or both) or non-guarantee. When you select any of these options, additional fields display, as described in the following sections.
TIP: Both the Guarantee by Credit Card and Guarantee by Alternate Form may be used together if the guest can be offered the option to provide a credit card OR send a check.
With this option, a credit card guarantee will be presented on the Attendee Website. Perform the following in the For Guests Paying With Credit Card section.
In the Instructions/Disclosures to be Displayed on the Attendee Website field, enter any instructions or disclosures that will subsequently appear on the Attendee Website and the Reservation Agent form. For example, you might include the fact that a credit card will not be charged at this time and that a valid credit card will be required upon arrival.
Optionally, check the Card must be valid through check-out date box if it is required that the credit card expiration date be after the check-out date at the time of making a reservation. If unchecked, there are reports available that identify guests with cards that expire between the reservation being made and consumed, which can be used to contact guests for an updated card.
This option allows guaranteeing a reservation by a non-credit card form, such as a check for deposit. Perform the following in the For Guests Paying With Alternate Form section.
In the Instructions/Disclosures to be Displayed on the Attendee Website field, enter any instructions or disclosures that will subsequently appear on the Attendee Website and the Reservation Agent form. For example, include that the check must be received by a particular date or the reservation will be cancelled. You might also include a mailing address to which the check can be sent.
In the Reservation Payment Notes field, enter payment notes. This information is displayed internally and on the Call Center form when this payment plan is selected. This information is sometimes also transferred to the hotel using GroupLink, depending upon the hotel.
In the Will be shown to Attendee as field, define how this option should be shown on the Attendee Website. For example, enter "Check" if this option is for accepting checks.
Optionally, check the Payment Due box then enter the number of days after the reservation is made when payment is due. Reports are available for viewing reservations that have not received payment by their due date.
In the Additional reservation Questions for Attendee field, enter any questions that you would like the attendee to answer. For example, you might ask for the check number if requiring the guest to mail a check.
Optionally, check the Received box if payment should be considered received at the time of making the reservation.
TIP: The Reservation Payment Notes field is used for internal notes that will appear on the reservation but is not displayed to the guest. It may be used to track the direct bill account number, where the guest’s charges should be billed.
Use this option if the guest is not required to enter a guarantee on the Attendee Website. When creating a Non Guarantee Payment plan in your library, enter the appropriate settings for your GroupLink adapter.
The instructions for this section vary by client and hotel. The combination of the settings here determine how the reservation is transferred in GroupLink.
