Reports: Event Summary: Cross Event Summary

This report allows you to look at events, reservations, revenue, upsell, and feature usage for your organization or hotel.  The report can be run for events created in or starting in a selected date range, and is provided in Excel format for further analysis.

To run the report across events:

  1. Select Run this report across all of my events

  2. Choose the date range

  3. Select the date range using the date pickers

  4. Click Generate Report to display the Excel report.

 

To run the report for a single event:

  1. Select an event by doing one of the following:

      • View the Selected Event banner below the Find Event row. The desired event may already be selected.

      • Use the Find Event drop-down list to search within your favorites or recently viewed events. Once selected, click the Find button to view events. Click on the desired event.

      • Choose By Event Name in the drop-down list, enter the name or partial name of the event then click Find. Click on the event name from the matching list of events.

      • Click on Advanced Search then enter search criteria in one or multiple fields. Partial names are allowed. Click Search. Click on the desired event from the list.

  2. Click Generate Report to display the Excel report.

TIP: The date pickers allow you to include events from up to 5 years ago, with a maximum reporting range of 366 days.

Data Included In The Report

Only active events (not cancelled) are included in the report.  The following table shows the types of events that are included when the report is run across events.

  • Includes events owned by the Organization (CW events)
Organization (with sister properties)
  • Includes events owned by the Organization (CW events)
  • Includes events owned by Hotel(s) (HD events) that are sister properties of the organization

 

Data Definitions

The following table defines all of the columns shown in the Excel report.

Column Name

Business Definition

Event Name

The event name. Note that cancelled events are never included.

Event Owner

The owner of the event, which may be a Hotel or Organization, as set in the Profile (Name)

Event Sub-Type

The event "sub-type" that is selected when the event is created

Event Creation

The date and time the event was built

Event Start Date

The start date for the event

Event Open Date

The general reservation open date for the event

Event Cutoff Date

The cutoff date for the event. For HD events this is listed as "-"

Event Close Date

The general reservation close date for the event

My Event Users

List of the users (first and last name) associated with the event. If multiple users, these are comma-delimited.

Planner Added

YES means that there is at least one event planner listed on the event, while NO means that there are none

SmartAlerts Enabled

YES means that are is at least one SmartAlert or Update turned ON in the event, while NO means that none are turned ON.

Campaigns Enabled

YES means that are is at least one Campaign turned ON in the event, while NO means that none are turned ON. (Only Pre-Arrival, Registered/Not Booked, Announce Event, Post-Stay, Quick Notify, and Upsell are considered)

Peak

The number of rooms in the current block on the peak inventory night for the event

Current Block

The entire current block (room nights) summed across all hotels and rooms in the event

Event Currency

The event currency code

Net Room Revenue

Revenue from rooms (including guest fees) booked during the reporting period as part
of Total Net Reservations

Excludes Net Add-On Revenue

Net Extended Stay Revenue

The part of Net Room Revenue generated from nights booked before or after event dates (outside of contract)

Net Upsell Revenue

 

 

 

Room Upgrade revenue generated as part of Net Room Revenue

Upsell Revenue shows only the difference between an upgraded room rate and a base room rate available for a guest, based on the Upsell Premium set in inventory.

If the Dynamic Upsell model is used for the event, this shows the difference between an upgraded room rate from a reservation and a base room rate available for a guest, calculated and summed for all nights of the reservation

Net Add-on Revenue

 

Revenue from Add-Ons sold as part of Total Net Reservations

Net Room Nights From Reservations

Number of rooms nights booked during the reporting period as part of Total Net Reservations

Total Net Reservations

Active reservations created during the reporting period, excluding "Cancel", "No Show" and "Fully Wait Listed" reservations

Call Center Form

The part of Total Net Reservations booked via the Call Center Form, including such sources as "Phone", "Fax", "Mail", "Email" and "Other"

Room List

The part of Total Net Reservations booked via the Rooming List Manager (RLM)

MRB

The part of  Total Net Reservations booked via Multi-Room Booking tool (MRB)

Web

 

The part of Total Net Reservations booked via the Attendee Website

Mobile

The part of Total Net Reservations booked via a Mobile device

 

Hotel

The part of Total Net Reservations that originated in the Hotel and then transferred into Cvent Passkey via API inbound

True Web %

((Net Web Reservations + Net Mobile Reservations) / (Total Net Reservations - Net RLM Reservations - Net MRB Reservations) ))*100.
