Event: Planners: Planners & Sub-block Groups Settings

Use this page to define specific event dashboard access for Event Planners and/or Sub-block Group Contacts. Upon event creation, the default settings are based on what was set at the Library level. Organizers can further customize the defaults for sub-block groups at the event level.

Event Level Planner Settings

These settings apply only to Event Planners added to the event.

• SmartAlerts: Specifies if Event Planners will see the Alert Settings and be able to set up SmartAlerts on the event dashboard.

• Email Delegates: Specifies if Event Planners will have the ability to send Communications to their delegates from the event dashboard.

• Website: Specifies if Event Planners will have access to view the attendee website from the event dashboard.

• • Allow customization. Specifies if Event Planners will have access to modify the attendee website from the event dashboard.

• Inventory: Any inventory settings checked in this list will display on the event dashboard.

Sub-block Group Settings

These settings apply to sub-block groups in the event.

Select Date options.

1. 1. Allow Access: Specifies when access to the event dashboard should be granted.

      • Send Alert: Specifies if and alert will be sent to the Sub-block Group Contact to inform them that they have access to the event dashboard. ON indicates that the alert will be sent out on the access date specified. OFF indicates that no alert will be sent and the organizer must manually communicate the information in another manner.

   2. Show allocated inventory on: Specifies the date on which Sub-block group Contacts can view the inventory that has been allocated to them on the event dashboard. This allows event organizers to modify their allocations without alerting Sub-block Group Contacts. Prior to this date, contacts may log into the dashboard to answer sub-block requests but once they select an event they will see the Bookings and Event Info tabs only.

   3. Reservation Deadline: By default, the event’s cutoff date will populate in this field. It may be changed by selecting a date using the calendar icon or by manually entering a date.

      • Send Alert: Specifies if/when the Reservation Deadline alert will be sent.

   4. Reservation Close: By default, the event’s close date will populate in this field. It may be changed by selecting a date using the calendar icon or by manually entering a date.

   • • Send Alert: Specifies if/when the Reservation Close alert will be sent.

Enable Dashboard Areas

These settings apply to sub-block groups in the event.

• • SmartAlerts: Specifies if Sub-block Groups will see the Alert Settings and be able to set up SmartAlerts on the event dashboard.

  • Email Delegates: Specifies if Sub-block Groups will have the ability to send Communications to their delegates from the event dashboard.

  • Website: Specifies if Sub-block Groups will have access to view the attendee website for their sub-block from the event dashboard.

  • • Allow customization: Specifies if Sub-block Groups will have access to modify the attendee website for their sub-block from the event dashboard.

  • Documents: Specifies if Sub-block Groups will have access to the Documents area of the event dashboard.

Dashboard Display Options

These settings apply to sub-block groups in the event.

1. • Inventory: Any inventory settings checked in this list will display on the event dashboard.

   • Reports: Any reports checked in this list will display on the event dashboard.

   • Charts: Any charts checked in this list will display on the event dashboard.

Roomlist Options

Sets the access level for Sub-block Contacts who submit online rooming lists. By default, the access to set to Allow Direct Updates.
